    Job Description :
    RealREPP is currently teaming with a private commercial real estate owner/developer in San Francisco to hire an Office Administrator due to growth. 



    This Office Administrator will directly assist a Principal of the company, VP of Leasing and a Lease Associate who are responsible for the leasing of a large industrial and office portfolio in the Bay Area regions.

     

    This Administrator will be a Jack/Jill of all trades in the office. They will be the first point of contact for the office and provide a warm and welcoming environment.  This person will assist in answering general questions, transferring calls to the appropriate team members. As the administrator for the office, this person must be okay with working on a diverse group of projects. Prior experience with calendaring, travel arrangements and expense reports would be helpful. 

     



    • Greet visitors, ascertain nature of business and contact the appropriate team member.

    • Answer and transfer phone calls

    • Post, prepare, sort and deliver daily mail and interoffice mail

    • Handle FedEx shipments for operations and transaction teams

    • Maintain responsibility for the overall appearance of the office, conference room and storage room and kitchen area

    • Maintain, order office supplies and code invoices for copy machine, postage machine, computer/printers and miscellaneous supplies as needed

    • Complete expenses reports, travel arrangements, Amex reconciliations for the San Francisco transaction team

    • Assist entire San Francisco and remote SF team members on an ad hoc basis

    • Coordinate catering orders for the office

    • Responsible for coordinating office Landlord communications to team

    • Coordination of corporate “Fun Day” events for the team (monthly)


    •  Serve as liaison with accounting, revenue accounting, legal, asset management, operations, transactions and construction departments 




    • Review commission invoices ensure amounts due are correct




    • Code and submit legal invoices for payment through Avid systems




    • Update and maintain Lease activities in Pivotal database on a regular basis




    • Review lease documents to confirm rents, square footages and other critical items are accurate




    • Work with the marketing team to provide marketing materials for properties within the Region




    • Prepare and track all lease approval documents internally and externally




     


     



     



    Required Qualifications :


    • Bachelor Degree required

    • Strong organizational, problem-solving and analytical skills; able to manage priorities and workflow.

    • Must be able to consistently achieve high work standards; attention to detail, accuracy and timeliness.

    • Experience in the commercial real estate industry helpful but not required.
