    Job Description :
    RealREPP is a full service commercial real estate firm and is currently teaming with a well known commercial real estate investment, management company in Irvine to assist them in hiring for an Operations Assistant. This is a newly created position that is open due to growth within the company.



    This Operations Assistant will be responsible for:
    - Overall support of corporate operations functions
    - Prepare Contracts and Purchase Orders as needed
    - Obtain and track insurance certificates when required 
    - Perform regional annual compliance audits and track corrections to verify compliance
    - Update Organizational Charts in Power Point
    - Distribute monthly/quarterly/annual reports to all stakeholders
    - Support integration of third-party managers with in-house management 
    - Assist with sustainability projects as needed
    - Support annual budget/reforecast process
    - Support property tax appeal process across company
    - Track and monitor completion dates to ensure CAM Rec deadlines are met

    General Administrative Support:
    - Prepare general correspondence to Property Management group regarding department meetings, conference calls, projects, etc. 
    - Create and/or update Excel spreadsheets
    - Coordinate meetings, reserve conference rooms and order lunches
    - Assist with travel arrangements 
    - Prepare expense reports
    - Photocopy, scan documents, create binder tabs, covers and spines
    - Prepare overnight packages, courier envelopes
    - Other general administrative support as necessary

    Required Qualifications :
     - Self-motivated, team player with the ability to work independently and in a team environment
    - Strong organizational, problem-solving and analytical skills; with ability to manage priorities and workflow
    - Strong communication skills, both oral and written
    - Must be proficient with Microsoft Office platform, including Outlook, Word, Excel and PowerPoint.
    - Property Management or real estate experience a plus
    - Four-year degree preferred
